What is business process automation?

Business process automation means handing repetitive manual work over to software: data entry, document handling, reporting, and moving information between systems. The goal is simple: your team no longer spends hours on work a machine can do in seconds, always the same way and without mistakes.

The right tool for the job

Not everything needs AI. Sometimes the best solution is a simple automated workflow in n8n, Zapier or Make that moves data and triggers actions on its own. Other times you need an AI agent that reads the content, makes a decision, and carries the process through to the end.

Which processes are worth automating

Moving data between systems. Information from one system to another, such as CRM, accounting (Merit, Directo), e-commerce or spreadsheets, with no manual copying. The workflow watches for changes anywhere and carries them forward on its own. Where someone is copying numbers from one window to another today, nothing slips through the cracks anymore.

Documents. Creating and sending proposals, invoices and contracts from a template. The workflow pulls the data from the right place, fills in the template, and sends the document on, always with the same formatting and no typos.

Reporting. Pulling numbers from different sources into a single overview that updates itself. At month's end no one has to collect numbers together in Excel anymore. The report is fresh every time you look at it.

Customer emails. Handling recurring inquiries, drafting replies, and routing to the right person. Simple things get an immediate answer; more complex ones reach the right person without getting lost along the way.

Invoice processing. Reading, checking and passing incoming invoices into accounting. The workflow reads the line items off the invoice, checks them, and passes them into the accounting software, so no one has to enter numbers by hand.

Which tools we automate with

We build workflows on n8n, Zapier or Make: these platforms connect your systems together and trigger actions on their own. Where possible we prefer a self-hosted solution, for example n8n on your own server: then your workflows don't depend on someone else's price hikes, and your data stays under your control. For simpler needs, a cloud-based setup that can be running quickly is enough. We decide together which one fits your situation.

AI agent or simple workflow: how to choose

A simple workflow fits when the task is clear and the rules stay fixed: take this, put it there, notify that. You need an AI agent when the task requires understanding content or making a decision, for example, "read this email and decide where it belongs."
